How to choose email marketing software
Choose software around one real task. Use a short trial checklist to compare the editor, signup forms, automations, and total cost.
Pick a tool that completes your essential workflow at a cost you understand. Test that workflow before paying for a long subscription.
1. Describe the job before the features
Write down what should happen from start to finish. For example: a visitor signs up, receives a welcome email, and joins your monthly newsletter. That is specific enough to test. “Grow my business with automation” is not.
Choose three must-have capabilities and keep the rest on a separate wish list. A newsletter publisher may prioritize editing, forms, and scheduling. A service business may need a booking-system connection. A store may need purchase-triggered emails.
2. Build a shortlist of two
Use our email software comparison to find two plausible options. Read the MailerLite, Moosend, GetResponse, and Brevo guides for questions to investigate. These are research-based starting points, not hands-on rankings.
Check the official plan details for your exact task. “Automation included” does not tell you whether the particular trigger, integration, or number of steps you need is included.
3. Give each trial the same task
Use your own test addresses and the same sample content in both products. Avoid importing a live audience just to explore an unfamiliar account.
- Create a signup form with a clear newsletter promise.
- Subscribe using a test address you control.
- Build a welcome message and verify the intended trigger.
- Create a newsletter with a heading, image, and one link.
- Preview on mobile and send a test.
- Unsubscribe the test contact and check its status.
- Locate subscriber export and account cancellation instructions.
Record “worked,” “blocked,” or “needs support” beside each step. Note the exact plan used. A trial may unlock features that disappear on the plan you intend to keep.
4. Compare the actual bill
Estimate subscriber count and monthly messages separately. For example, 600 subscribers receiving four full-list campaigns produces 2,400 campaign sends, before welcome messages or other automations. This is an illustration, not a provider quote.
Use the monthly send estimator and our plan buying guide. Check the price at your current size and at a realistic next step, plus billing term, renewal, add-ons, taxes, and cancellation conditions.
5. Check the everyday friction
- Can you change a template without rebuilding the email?
- Can another person help, and does an extra user cost more?
- Does your existing website or booking tool connect in the way you need?
- Can you find a failed automation and pause it?
- Can you get support through a channel you can actually use?
Ask a concrete support question if something is unclear. One response can help you understand the setup, but it does not establish the quality of support over time.
6. Make a decision you can explain
Finish this sentence: “We chose this tool because it completed ___, includes ___ on our chosen plan, and costs ___ at our expected usage.” If you cannot fill the blanks, identify the missing detail before committing.
If both options work, choose the one you can operate consistently at an acceptable cost. If neither works, change the shortlist rather than buying a bigger plan without checking whether it solves the problem.
